Choose what each team sees
Open Org settings → Layout configuration as an organization administrator or a user with configuration management access. A layout defines the tabs and blocks people see; an assignment determines which group receives it.
- Home layout: the managed tabs at the beginning of Home.
- Account page layout: the managed tabs in an account workspace.
- Contact field set and Account field set: the Salesforce fields shown on records, their display order, and which fields users can edit. Field sets require a Salesforce connection.
Each area has its own assignments. For example, East SDRs can receive a prospecting Home layout and a contact field set, while managers receive a reporting Home layout. Layout assignments do not grant permission roles.
To arrange your own Home tabs, follow Customize your Home below.
Build a layout or field set
- Select Set up a layout, then choose Home page or Account page.
- Choose Create from scratch or Create from existing layout when available. A copy contains the source's tabs and blocks; its assignments are not copied.
- Arrange the tabs and blocks, review the preview, and give the layout a clear name and description.
- Select Create layout. The new layout is saved without an audience. Use Visible to or the Assignments tab to choose who receives it.
To configure the Salesforce fields shown on accounts and contacts, create a field set using the steps below.
Configure Salesforce fields for accounts and contacts
A field set selects the live Salesforce fields your team sees in Athean and which of those fields they can edit back into Salesforce. Manage field sets in Layout configuration with an active Salesforce connection.
- Open Layouts and field sets, then choose Contact field sets or Account field sets.
- Select New field set or Add your first field set. Give it a name your team will recognize and a description of its purpose.
- Use Add fields or the first-field control to search Salesforce and select the fields you need. Contact field sets have separate Contact fields and Lead fields sections; configure each object your team uses. Account field sets contain Account fields.
- Set each field's display name and drag its handle to arrange the order. Review Users can edit for every field: supported fields can start with editing enabled, while Salesforce read-only or unsupported fields cannot be enabled here.
- Open a field's Display options to adjust its format, tooltip, suffix, or icon when useful. Select Done to apply those choices to the field-set draft.
- Select Create field set. The new set is saved without an audience. In Assignments, select it for the intended group or Everyone else, then Review changes and Apply.
To change an existing set, open it, edit the fields, and select Save field set. Review the affected people and confirm Save. Field-set edits require this explicit save; closing Display options with Done does not publish them. Saving changes an assigned set for everyone who receives it.
Use Refresh from Salesforce if a new CRM field is missing. If Salesforce field metadata cannot load, saved fields remain in the editor; retry the load before assuming a field was removed. Check the assignment with See what one person gets, then follow View and edit Salesforce fields to check the record experience.
Field sets configure the fields shown and editable on records. CRM sync mappings separately configure record and activity sync behavior.
Assign groups and set rule priority
In Assignments, find the group's row and choose its layout or field set in the appropriate column. Review the group's members if the audience is uncertain.
The first matching rule wins for each area. A person who belongs to multiple groups receives one layout or field set for that area; the choices are not combined. Review Rule order and use its arrow controls to put the intended rule first. Home and account layouts can have different rule orders.
Everyone else defines the fallback for people who match no explicit rule. Choose a saved layout or field set, or keep Organization default to use the existing setup. A group cell showing Same as Everyone else has no explicit rule of its own; another matching group's rule can still determine what a member receives.
For example, place a Managers rule before an East SDRs rule if someone in both groups should receive the manager Home layout.
Review and apply changes
- After changing assignments, select Review changes.
- Review the affected people and the configuration they will receive. If you changed several areas, review and apply each separately; the remaining changes stay unsaved.
- Select Apply to make the reviewed assignments active, or Keep editing to revise them.
- Use See what one person gets to check the resulting layout or field set and the rule that selected it.
Read membership warnings before applying. Athean may be using the last successfully resolved group membership, so counts and matches can lag a recent group change. Field-set changes can be blocked when the affected membership cannot be confirmed.
Editing an already assigned layout is a separate change. Saving its tabs, blocks, or field-set contents updates what its assigned users receive. Review the audience before Save changes. Create an unassigned copy if you want to develop a separate version before assigning it.
If another administrator has saved a newer version, follow the conflict message and review the latest saved setup before reapplying your edits.
Understand managed and personal tabs
Managed tabs appear first and are edited through Layout configuration. Users can keep their own custom tabs after them.
On Home, an assigned managed layout replaces the standard Home tab, while personal tabs remain. On account pages, managed tabs replace untouched default tabs; customized default tabs and other personal tabs remain after the managed tabs.
Two people can therefore receive the same managed layout and still have different personal tabs. Use See what one person gets to check their assignment, then distinguish the managed tabs from their personal additions.
Saved changes appear as the workspace refreshes its configuration. If a refresh fails, Athean may retain the last available managed layout and display a warning.
Customize your Home
Use a personal Home tab for the information and actions you want together. Personal tabs sit after any tabs managed by your organization.
- Open Home and select New tab. The empty personal tab opens in edit mode.
- Use Rename tab beside its name and confirm a descriptive name.
- Select Add block and choose the content you want. Blocks already on the tab and blocks requiring additional access show why they are unavailable.
- Drag a block's move handle to reposition it, or focus that handle and use the arrow keys. Drag a corner to resize it. Use a block's remove control to take it off this tab.
- While editing, drag your personal tabs into the order you want. Managed tabs stay at the beginning.
- Select Done editing to return to the normal Home view. Select Edit layout whenever you want to make another change.
Personal Home changes save automatically as you make them. Done editing exits edit mode; it is not a separate save step. Let Saving… finish and check for a save error. If Athean reports that a Home change could not be saved, make that change again.
To start from the standard Home or a managed tab, select it and choose Edit layout, then confirm Duplicate. Athean creates a personal copy and opens it for editing. You can also use the tab's duplicate control while editing. Your organization can restrict copying a managed tab.
Layout editing requires a sufficiently wide window. If the controls report that editing is unavailable, widen the window to at least 900 pixels. Your administrator manages shared tabs through Layout configuration.
Review history and restore assignments
Open Assignment history and choose the area you want to inspect. Each version shows its author, time, group rules, and Everyone else fallback; Current marks the active version.
To return to an earlier assignment arrangement, select Make active version, review the affected people, and select Restore. This creates a new active version with those assignments.
Assignment history changes which layout or field set people receive. A layout or field set's own version history controls its contents. Check the correct history for the change you want to reverse.
If a group cannot be deleted because it is assigned here, remove or replace its assignments first. For a configuration that cannot load or resolve membership, contact support.
